Mindful Health Solutions is a well-established interventional psychiatric private group practice led by internationally recognized psychiatrists in the field of depression, obsessive-compulsive (OCD), and neurological disorders. Our clinicians provide the highest quality of care within a collaborative, collegial environment, and an ongoing dedication to learning. Together, with a diverse staff of high caliber nurse practitioners, our psychiatrists provide compassionate care through medication management, brief psychotherapy, Transcranial Magnetic Stimulation (TMS), Esketamine, and ECT.


The Executive Assistant will manage calendars and meeting logistics for the CMO, other Medical Leaders and CEO. Oversee administrative workflow of both daily tasks and ongoing projects that will enhance the value of the services offered by the medical practice. Plan, organize and execute all logistics related to company meetings, quarterly education dinners, and other events.

+ Manage Calendars for CMO and Regional Medical Directors

+ Manage travel logistics for CMO

+ Oversee contractors or internal staff on projects as identified

+ Manage expense reporting for the CMO

+ Plan and organize the logistics of all hands company meetings, quarterly medical education dinners, and other events as identified

+ Develop presentations for CMO, Medical Leaders or CEO

+ Manage meeting minutes/agendas of administrative meetings- led by CMO or CEO.

+ Coordinate with the Clinician Training team on scheduling clinical training/supervision calendar blocks

+ Oversee quarterly reconciliation of admin hours for Medical Leaders

+ Manage calendars for Depression Anxiety Case Conferences (DACC's), TMS Case supervision conferences.

+ Develop and adhere to Standard Operating Procedures (SOPs) and Work Instructions (WIs) as identified to ensure adherence to applicable regulatory guidelines and practice standards.

+ Provide status reports on all projects, as necessary. Provide timely feedback to the CMO on the progress of project assignments

+ Additional projects as requested, primarily for the CMO and CEO, and other senior leaders.

+ Prior Executive Assistant experience, preferably providing executive level support within a healthcare environment

+ Proven experience in managing highly confidential and sensitive information with discretion

+ Experience in managing multiple calendars and meeting logistics

+ Proficiency with EHR systems a plus; expense software, MS Office including Outlook, Access, Word, PowerPoint, and Excel.

+ Excellent interpersonal communication skills, organizational skills and a great attention to detail are required.

+ Ability to manage conflicts and resolve problems effectively
